Terms of Service

These Terms govern your access to and use of RugbyEngine. In these Terms, “RugbyEngine,” “we,” “us,” and “our” refer to the service and its operator identified in Section 10.

1. Eligibility and supported countries

You must be at least 18 years old and legally able to accept these Terms. Account registration is currently offered only in the United States, Australia, and New Zealand. RugbyEngine is intended for adult coaches, managers, administrators, and other authorized team personnel; players under 18 may not create accounts.

2. Accounts and team authority

You must provide accurate account information, protect your password, and promptly notify us of suspected unauthorized access. You are responsible for activity performed through your account and for ensuring that every person you invite is authorized to access the relevant team.

3. Player and guardian information

You may enter player information only when your club, team, the player, or the player's parent or guardian has authorized you to do so. You are responsible for giving players and guardians appropriate notice, using the information only for legitimate team purposes, keeping it accurate, and removing it when it is no longer needed.

Do not put medical diagnoses, safeguarding reports, government identifiers, financial information, or other unnecessary sensitive information into roster, match, chat, voice-note, or free-text fields.

4. Content

You and your organization retain ownership of content you submit. You grant us a limited worldwide license to host, copy, process, transmit, and display that content only as needed to provide, secure, support, and improve RugbyEngine. Shared team records may remain available to authorized team members after an individual account is deleted, with personal attribution removed where appropriate.

RugbyEngine, its software, branding, and non-user content remain owned by their respective rights holders. These Terms do not transfer that ownership to you.

5. AI and transcription features

AI summaries, suggestions, and transcriptions may be incomplete or inaccurate. They are coaching aids, not medical, legal, safeguarding, emergency, or other professional advice. You must review outputs before relying on or sharing them and remain responsible for coaching and player-safety decisions.

6. Acceptable use

You may not:

  • access a player, team, or account without authorization;
  • upload unlawful, abusive, infringing, or malicious content;
  • use RugbyEngine to harass, discriminate against, or endanger anyone;
  • probe, bypass, or disrupt security, access controls, or usage limits;
  • resell, scrape, reverse engineer, or automate access except where law expressly permits it; or
  • use AI output as an automatic eligibility, medical, disciplinary, or safeguarding decision.

7. Free service and availability

The launch service is provided without charge. Features, limits, and availability may change, and we may suspend service for maintenance, security, legal, or abuse reasons. We do not promise uninterrupted operation or permanent storage. Export information you need for your own records.

8. Suspension, termination, and deletion

You may request account deletion in Settings. Workspace owners must transfer an active workspace to another verified adult Coach or choose to delete it. We may suspend or terminate access for material violations, security threats, legal requirements, or risk to other users. Details are in the Privacy Policy.

9. Warranties, liability, and legal terms

To the maximum extent permitted by law, RugbyEngine is provided “as is” and “as available,” without implied warranties. We are not liable for indirect, incidental, special, consequential, or punitive damages arising from the service. Nothing in these Terms excludes rights or liability that applicable law does not permit us to exclude.

These Terms are governed by California law, while preserving mandatory consumer rights that apply where you live. If part of these Terms is unenforceable, the remainder continues. Our failure to enforce a provision is not a waiver. We may assign these Terms to an affiliate, successor, or future RugbyEngine operator and will give appropriate notice of a material operator change.

10. Contact and changes

We may update these Terms as RugbyEngine changes. We will publish the new version and request renewed acceptance when a change is material. Questions may be sent to hello@rugbyengine.com.
